Adding Team Members to Your Subscription

A veterinary clinic is never one person. Receptionists schedule, technicians prepare, veterinarians treat — and everyone needs to see the same patient history. In Veetz, you do that by sharing your subscription with your colleagues, so the whole team works inside the same clinic instead of juggling separate records.

If you are the person who contracted Veetz, you are the master user, also called the subscriber. You are the one who decides who joins the team and who leaves it. This guide shows you how.

Who can do this

Only the subscriber manages the roster. If you are a team member rather than the subscriber, you will not see these options — ask whoever contracted the subscription for your clinic.

  1. Click Settings in the left-hand sidebar.
  2. In the Settings workspace, open the Administration group.
  3. Click Team Members.

You will land on the Team Members screen, which explains its own purpose right at the top: as the master user, you can assemble your team of members and share your software subscription with them.

Understanding the Membership Roster​

The Membership Roster is the list of everyone who currently has access through your subscription. Each row shows:

  • Member — the colleague's name. Your own row is marked with (you), and it cannot be removed.
  • Subscription — which subscription that person is using. Next to it there is a small copy icon, handy when you need to quote the subscription identifier to our support team.
  • Remove — the red button at the end of the row, labelled Remove Share user. It withdraws that colleague's access.

If the roster is empty, it simply means nobody has been added yet.

Adding a Colleague to Your Team​

On the Team Members screen, click the add button in the top toolbar. The Add Members to Your Team window opens.

1. Find the person​

Type in the search box — its placeholder reads Search users by email or username — and confirm the search.

Search by what you actually know

You do not need both pieces of information. The colleague's e-mail address alone is usually enough, and so is the username they chose.

2. Check that it is the right person​

Each result shows the colleague's Photo, their Full Name and, just below the name, their username. Two people can share a name; the username is what makes the match unambiguous. Confirm it before going further.

3. Choose which subscription to share​

In the Subscription column, open the dropdown. Each option displays the product name together with two numbers that matter a great deal:

  • Quantity Purchased — how many seats that subscription includes.
  • Quantity Assigned — how many of those seats are already in use.

Compare the two before you share. When every purchased seat is already assigned, there is no room left for a new colleague and you will need additional licences.

4. Grant access​

Click the green add button at the end of the row — it is labelled Share user profile. The colleague is added to your team and appears on your Membership Roster.

Already on your team

If the button is unavailable for someone, that person is already sharing your subscription. Look for them on the roster instead.

Removing Someone From the Team​

People move on, and access should move with them. On the Membership Roster, click the red Remove Share user button on that person's row. Their access through your subscription ends.

Their Veetz account itself is not deleted — it is personal and stays with them. What ends is the access your subscription was granting.

Do this on the person's last day

Reviewing the roster when someone leaves the clinic is a simple habit that keeps your patient and client records seen only by the people who currently work with you.

When You Run Out of Seats​

If Quantity Assigned has caught up with Quantity Purchased, your team has filled every seat. Additional licences are contracted the same way the subscription itself was: through the main Veetz product website or one of our authorised resellers.
