Managing Stock Reservations: Never Sell the Same Item Twice

A client confirms an order in the morning; another client asks for the same product in the afternoon. Without control, you might promise the same units to both. Reservations solve this: they hold a quantity for a specific order, moving it from "available" to "reserved" until you confirm the sale or release the stock.

Opening the Reservations Screen​

From the main dashboard:

  1. Click on Product Management in the left-hand sidebar.
  2. Select Inventory, then Reservations.

You can also reach it from the Review reservations quick action on the Inventory dashboard.

Reading the Reservations List​

Each row shows:

  • Product and Location: What is reserved and where it is being held.
  • Quantity: How many units are on hold.
  • Order: The order identifier the reservation belongs to.
  • Status: The current state of the reservation (see below).
  • Reserved At and Expires At: When it was created and when it expires automatically, if an expiry was set.

Reservation Statuses​

  • Active: The quantity is on hold, waiting for a decision.
  • Confirmed: The sale went through — the quantity has left stock for good.
  • Cancelled: The reservation was released and the quantity returned to available.
  • Expired: The expiry date passed before confirmation, and the hold was released automatically.

Creating a Reservation​

Click the + ADD button — Veetz opens the stock operations form with Reservation pre-selected. Fill in the product, location, quantity, and the order identifier; optionally set an expiry date. Full details in Registering Stock Operations.

Confirming or Cancelling​

In the Actions column, active reservations offer two buttons:

  • Confirm (✔): The order was billed or delivered — the reserved quantity is deducted from stock permanently.
  • Cancel (✖): The order fell through — the quantity goes back to available immediately.
Set an expiry on quotes

For reservations tied to quotes or unconfirmed orders, always set an Expires At. If the client never returns, Veetz releases the stock automatically — no manual cleanup needed.
