Managing Vaccines and Vaccination Protocols

Vaccination is one of the most valuable services a veterinary practice offers — and one of the easiest to lose track of without the right tool. Missed boosters, unknown batches, handwritten cards that fade away... The Vaccines registry in Veetz is the foundation of a complete vaccination control workflow: register each vaccine once, and every application becomes part of the patient's digital vaccination card, with batch tracking and next-dose scheduling built in.

  1. On the left-hand sidebar, click Veterinary.
  2. Click Clinical Setup.
  3. Click Vaccine Protocols, then Vaccines.

Exploring Your Vaccines​

The vaccine list shows each product with its photo, name, and manufacturer, along with its Type, Expiry Date, and Dosage. From the action bar at the top you can:

  • Search by name, with suggestions appearing as you type.
  • Add a new vaccine.
  • Export the list to Excel.
  • Print the list.
  • Reload the data at any time.

Click on any row to open the vaccine's full details.

Registering a Vaccine​

Click Add to create a new vaccine. The form is organized in three sections, plus a photo:

Vaccine Photo​

Upload a photo of the product. It appears in the vaccine list and makes identification faster — especially useful when different presentations of the same vaccine sit side by side in the refrigerator.

Basic Information​

  • Name (required): The commercial name of the vaccine — for example, "V10 Canine".
  • Manufacturer: The company that produces it.
  • Type: The kind of vaccine — for example, multivalent, antirabies.
  • Expiry Date: The product's reference expiration.

Dosage and Effects​

  • Dosage: The standard dose applied — for example, "1 mL".
  • Side Effects: Known adverse effects, so the team can inform pet owners with confidence.

Composition and Storage​

  • Composition: The vaccine's components.
  • Indications: Species and situations the vaccine is indicated for.
  • Storage Conditions: How to preserve it — for example, "Refrigerate between 2°C and 8°C".

When you are done, click Save.

Deleting a vaccine

Only administrators can delete a vaccine from the registry. This protects your clinical history from accidental loss.

From Registry to Vaccination Card​

Here is why this registry matters: when you record an immunization on a patient's record, Veetz uses your vaccine registry to build a complete digital vaccination card — see the full flow in Using the Digital Vaccination Card. For each application you inform:

  • Immunization: Pick the vaccine from your registry — or register a new one on the spot.
  • Application Method: How it was administered (see Managing Vaccine Application Methods).
  • Date of the application.
  • Batch Number: Essential for vaccine batch traceability.
  • Next Vaccination Interval: In how many days the next dose is due.
  • Dose Count: Which dose of the protocol this is (1st, 2nd, booster...).
  • Adverse Reactions: Anything observed after the application.

Never Miss a Booster​

Based on the interval you inform, Veetz calculates the date of the next dose and classifies each vaccine on the patient's card:

  • Up to date — the next dose is still far away.
  • Due soon — the next dose is coming up within the next 45 days.
  • Overdue — the scheduled date has passed.

This gives your team a clear immunization schedule for dogs, cats, and exotic patients, and makes it easy to contact owners before a dose is missed — protecting patients and keeping clients coming back.

Vaccines are also products! Use the Product Management module to control vaccine stock, batches, and expiration dates.
