Exploring Accounts Receivable

The main Accounts receivable screen is where you answer the questions every clinic asks: How much are we still owed? What is already overdue? What is coming in this week? Everything here is built to give you those answers in seconds.

Choosing the Organization​

At the top of the screen, select the Organization. The list, the filters, and the indicators all refer to the company you choose, so each unit keeps its own financial view.

The Filters​

A set of filters narrows the list to exactly what you want to see:

  • Status — show only receivables that are Issued, Partially received, Received, Cancelled, or Written off.
  • Aging — how overdue an account is: Not due, 0-30 days, 31-60 days, 61-90 days, or 90+ days.
  • Category — group by the type of receivable (for example, consultations, plans, surgeries), when you use categories.
  • Payer — type to show only the receivables of one client or payer.
  • Due from and Due to — a date range, to see everything due within a given period.

You can also search by text using the search box in the top toolbar, and combine it with the filters above.

The Quick Shortcuts​

Four buttons give you the most common views with a single click:

  • Overdue — every account already past its due date. This is the list you want to keep short.
  • Next 7 days — what is coming in over the week ahead.
  • Recurring rules — jump to your recurring receivables (plans, contracts, memberships). See Creating a Recurring Receivable.
  • Clear filters — resets everything back to the full list.

The Indicators​

Four cards summarize the receivables that match your current organization and filters, each total shown with its currency code (for example, BRL 3,200.00):

  • Total outstanding — everything still to be received.
  • Overdue — the outstanding amount already past due.
  • Not due — the outstanding amount not yet due.
  • Received — how much has already come in.

The cards reflect the filters you have applied. Choose a payer, an aging bucket, or a date range, and the indicators immediately reflect that narrower view — a fast way to answer "how much does this client still owe us?"

The List​

Each row shows the essentials at a glance:

  • Due date — the next date this receivable is due. Overdue dates are highlighted so they stand out.
  • Receivable — the title you gave it.
  • Payer — the client or payer.
  • Aging — how overdue the account is, from Not due to 90+ days.
  • Status — a colored badge: Issued, Partially received, Received, Cancelled, or Written off.
  • Outstanding — how much is still to be received, always shown with the currency code.
  • Collection step — how far the collection process has advanced on this account. See Following the Collection Process.

Click any row — or the Open receivable button — to open the account and see its installments, receipts, and documents. The Trigger next collection step button on the row lets you advance collection without leaving the list.

When the list is empty

If nothing matches, Veetz shows "No receivables found" with the hint "Adjust the filters or create the first receivable." Use the Clear filters shortcut or add your first account with the + (add) button in the toolbar.

Exporting and Printing​

The top toolbar also offers Export data and Print, so you can take the current list into a report or hand it to whoever follows up on collection.
