Recording a Payment

Registering a payment is what keeps accounts payable honest: it moves a bill from open to paid, updates the outstanding balance, and leaves a clear history of what was settled and when. Veetz makes both cases easy — paying a bill in full, or paying part of it now and the rest later.

Opening the Payment Dialog

Open the bill from the Accounts payable list. There are two ways to start a payment:

  • On the Installments tab, click the Record payment button on the installment you want to settle.
  • Or use the Record payment action next to Save at the top of the bill, when there is still an amount outstanding.

The Record payment dialog opens.

Filling in the Payment

  • Installment (required) — which installment this payment applies to. A single bill has one; an installment plan lists each one.
  • Amount (required) — how much you are paying now. To settle the installment completely, use its full outstanding value; to make a partial payment, enter less.
  • Payment date (required) — the day the payment happened.
  • Payment method — how it was paid: Cash, Bank transfer, Pix, Card, Check, or Other.
  • External reference — an optional identifier from outside Veetz, such as a transfer or transaction number.
  • Payment notes — any extra detail worth recording.

Click Record payment to confirm. Veetz reports "Payment recorded successfully."

Full and Partial Payments

  • Full payment — pay the installment's whole outstanding amount and it becomes Paid. When every installment of a bill is paid, the bill itself becomes Paid.
  • Partial payment — pay less than the outstanding amount and the bill becomes Partially paid. The Outstanding value drops by what you paid, and you can record the rest later.

The summary cards at the top of the bill — Total, Paid, and Outstanding — update immediately, so the current balance is always in plain sight.

The Payment History

Every payment you record is listed on the Payment history tab of the bill, showing the Date, Payment method, Status, and Amount. This is the complete, permanent record of everything settled on that bill.

Record payments on the day they happen

The closer your payment records are to reality, the more trustworthy your outstanding balance and cash-out forecast become. Make it a habit to register a payment the same day it is made.
