Navigating the Calendar and Team View

The Scheduler page is where the whole practice meets its day. This tutorial shows how to move around the calendar, filter what you see, and compare professionals side by side with the Team view.

Who should read this: everyone who uses the calendar — receptionists most of all.

The Filter Bar​

At the top of the Scheduler you will find three filters and a switch:

  • Organization — the unit whose calendar you are viewing. All times are shown in this organization's time zone, displayed right below the page title.
  • Professionals — pick one or more professionals. You can search by name, select several, or clear the field to see All professionals. When you open the Scheduler, your own professional profile is pre-selected if you have one.
  • Event type — show only one type (for example, only surgeries). Clear it to see All event types.
  • Team — a switch that becomes available when two or more professionals are selected. Turn it on for the side-by-side team view.

Appointments update as soon as you change a filter.

Day, Week, and Month​

The calendar offers three views, selectable at the top of the grid:

  • Day — one column, ideal for the reception desk during a busy morning.
  • Week — the default view, a full week at a glance.
  • Month — a bird's-eye view for planning ahead.

Use the arrows next to the view names to move to the previous or next period, and the Today button to jump back to the current date.

In the Day and Week views, the typical business hours of the day are subtly highlighted so the working window stands out from the small hours.

Reading the Calendar​

  • Each appointment is colored by its event type — surgeries, vaccine returns, exam deliveries, grooming, and general events each have their own color, so a glance tells you what kind of day it is. See Native Event Types.
  • Organization events (no professional assigned) appear whenever their organization is selected — they belong to the clinic, not to a person.
  • Private appointments of other users appear only as Busy. You can see that the time is taken, but not why. Hovering shows "Private appointment" instead of the title, and the appointment cannot be opened for editing. Learn more in Creating, Editing, Moving and Cancelling Appointments.

The Team View​

When the reception needs to find who is free for a walk-in client, the team view answers it in one screen.

  1. In the Professionals filter, select two or more professionals.
  2. Turn on the Team switch.

The page changes to one calendar per professional, side by side, each with the professional's name at the top and its own Day and Week views. Organization events (with no professional) appear in every lane, since they concern the whole clinic.

You can create an appointment directly in a professional's lane by clicking a free slot — the new appointment dialog opens already assigned to that professional.

Turn the Team switch off to return to the single combined calendar.

Expected Result​

You can answer, without leaving the page:

  • What does Dr. Ana's Tuesday look like? — filter by Dr. Ana, Day view.
  • Who can take a grooming at 15:00 today? — select the groomers, Team view.
  • How many surgeries this month? — filter the event type, Month view.
