Finding Available Times

Instead of scanning the calendar for a gap, let the Scheduler do it: the Find available times feature lists real free slots for a professional, already respecting their working hours, availability blocks, and existing appointments.

Who should read this: receptionists booking for the team, and anyone scheduling with a specific professional.

Prerequisites: the professional's agenda is configured with working hours; an internet connection (availability is always checked live, so the answer is trustworthy).

Where the Button Appears​

Open a new appointment and select a Professional. The Find available times button appears in the dialog. No professional selected, no button — availability is a property of a professional's agenda.

Searching for a Slot​

  1. In the appointment dialog, pick the Professional.
  2. Set Start and End roughly matching the duration you need — the search looks for slots of that length. Picking the right Event type first helps, since it fills a realistic default duration.
  3. Click Find available times.
  4. A row of suggested slots appears, each as a small button with day and hour (for example, 18/09 09:00), covering the next 30 days. Up to eight suggestions are shown at a time.
  5. Click a suggestion. The Start and End fields are filled in for you.
  6. Complete the rest of the appointment and click Save.

How to Read the Suggestions​

A time appears in the list only when all of these are true:

  • it falls inside the professional's working hours for that weekday;
  • it does not touch any availability block;
  • it does not overlap any appointment marked Show as busy;
  • it is long enough for the duration you asked for.

So if the desired Thursday 14:00 is missing, one of those four reasons explains it — most often an existing appointment or a block.

When the Time You Wanted Isn't There​

  • Try a shorter duration. A 2-hour surgery needs a 2-hour gap; a 30-minute return fits in many more places.
  • Try another professional. Use the team view to compare agendas side by side.
  • Talk to the professional. If the slot is blocked or outside working hours, only they (or a manager) can adjust the agenda. Remember: the professional can always book their own agenda, even outside these rules — the constraint applies to bookings made by colleagues.

Business Rules Worth Knowing​

  • Suggestions come from the professional's agenda in the selected organization, in that organization's time zone.
  • The search covers the next 30 days from today.
  • Availability is computed at the moment you click — if a colleague books the slot a minute later, saving your appointment may still report a conflict. The message keeps your data so you can pick another suggestion.
