The Veetz Scheduler: Your Clinic's Appointment Calendar

A busy veterinary practice lives and dies by its calendar. Surgeries, vaccine returns, exam deliveries, grooming sessions, and administrative meetings all compete for the same hours — and everyone on the team needs to see an up-to-date picture. The Scheduler brings all of this together in one veterinary appointment calendar shared by the whole practice.

This overview introduces the module and points you to a detailed tutorial for each feature.

Who uses the Scheduler?

Everyone: receptionists and secretaries book and reorganize appointments for the team, veterinarians and groomers manage their own agendas, and managers keep an eye on the whole operation.

Opening the Scheduler

From the main dashboard, look at the left-hand sidebar and click Scheduler. The page opens with the calendar, a filter bar, and two buttons at the top: Agenda settings and New appointment.

Just below the title you will always see the Organization time zone — every time on the calendar is shown in the time zone of the organization you selected, no matter where you are. Learn why in Understanding the Organization Time Zone.

One Calendar, Two Kinds of Agendas

The Scheduler combines two kinds of appointments:

  • Organization events — appointments that belong to the clinic as a whole, with no specific professional. A vaccine return or a grooming session, for example, can live on the organization's agenda.
  • Professional events — appointments linked to a specific professional, such as a surgery with a particular veterinarian. These respect that professional's agenda: working hours, availability blocks, and whether the agenda is open for bookings.

Each professional's agenda starts closed: colleagues cannot book into it until the professional (or a manager) configures working hours and opens it. This protects professionals from receiving bookings before their real schedule is set up. See Configuring and Opening a Professional Agenda.

What You Can Do

  • Navigate by day, week, or month, filter by organization, professionals, and event type, and turn on the Team view to compare professionals side by side. ➡️ Navigating the Calendar and Team View
  • Create, edit, move, and cancel appointments, choosing whether each one occupies the agenda (Show as busy) and whether it is a Private appointment — private appointments appear to other users only as "Busy". ➡️ Creating, Editing, Moving and Cancelling Appointments
  • Use the native event types — Surgery, Vaccine return, Exam delivery, Grooming, and General event — each with its own rules and sensible defaults. ➡️ Native Event Types and Their Rules
  • Find available times for a professional before booking, instead of hunting for a free slot by eye. ➡️ Finding Available Times
  • Repeat appointments daily, weekly, or monthly, and later edit or cancel one occurrence, the future ones, or the entire series. ➡️ Recurring Appointments
  • Jump into scheduling from anywhere: the dashboard, a patient's record, the vaccination history, or a client's page. ➡️ Quick Scheduling Shortcuts
  • Keep working during connection drops — the calendar stays available and your changes are sent when the connection returns. ➡️ Working With and Without Internet

Where to Start

If you are setting up the Scheduler for the first time, this order works well:

  1. Check the organization time zone — so every appointment is displayed at the right hour.
  2. Configure and open the professional agendas — working hours, blocks, and booking status.
  3. Learn the calendar views and filters — find your way around.
  4. Create your first appointments — and get familiar with the event types.
