Understanding the Organization Time Zone

Every appointment in the Scheduler is displayed in the time zone of the organization, not in the time zone of the device you happen to be using. This one rule keeps the whole team looking at the same clock: a surgery booked for 14:00 at your São Paulo clinic shows as 14:00 for everyone — including a manager who is travelling in Lisbon at that moment.

Why the Organization, Not the User?​

The time zone represents where the clinic physically operates. Patients walk through the door at the local hour, so the calendar must speak that language. If each user saw the calendar in their own device time, the same appointment would appear at different hours for different people — a recipe for missed surgeries.

  • Each organization (unit) can have its own time zone. A group with clinics in São Paulo and New York keeps a separate time zone for each unit.
  • Everyone who opens that organization's calendar sees the same hours.
  • The Scheduler always shows the active time zone right below the page title: Organization time zone.

Setting the Time Zone​

Who can do this: an administrator with access to organization settings.

Where: the organization's registration form.

  1. Open the organization's details page (the same place where you edit its name and address).
  2. Find the Time zone field.
  3. Start typing the city or region — the field lets you search — and select the correct entry. Example values look like America/Sao_Paulo, America/New_York, or Europe/Lisbon.
  4. Save the organization.

The caption under the field reminds you of the effect: "Appointments and working hours are shown in this time zone."

The suggested value is only a starting point

When you create a new organization, Veetz suggests a time zone based on your browser. Treat it as a suggestion: if you are registering a unit located somewhere else, pick that unit's real time zone before saving.

Daylight Saving Time (DST)​

Regions that observe daylight saving time move their clocks during the year, and two odd situations can appear:

  • A time that doesn't exist. On the night clocks jump forward, times inside the skipped interval never happen. If you try to book one of them, the Scheduler asks you to pick a valid time instead.
  • A time that happens twice. On the night clocks fall back, some times occur twice. The Scheduler also asks you to adjust these so there is no ambiguity.

For repeating appointments, the Scheduler keeps the same local hour across the change — your every-Monday 09:00 staff meeting stays at 09:00 on the clinic's wall clock, before and after DST. See Recurring Appointments for details.

Changing the Time Zone of an Existing Organization​

Changing the time zone changes how every future appointment is displayed. If you correct a wrongly configured unit:

  1. Change the Time zone field and save.
  2. Open the Scheduler and review the upcoming appointments for that organization.
  3. Adjust any appointment that now shows at the wrong local hour, and tell the team about the correction.
