Configuring and Opening a Professional Agenda

Before colleagues can book appointments with a professional — a veterinarian, a groomer, or anyone else on the team — that professional's agenda needs to be configured and opened. This tutorial walks through the whole setup: working hours, availability blocks, and the booking status.

Who should read this: professionals who manage their own agenda, and receptionists or managers who configure agendas for the team.

Prerequisites: the organization is selected in the Scheduler and its time zone is correct.

Why Agendas Start Closed​

A brand-new professional agenda is closed. While closed, other users cannot book into it — only the professional can create appointments in their own agenda. This is intentional: it prevents the reception from filling a schedule before the professional has told Veetz when they actually work.

Once working hours are configured and the agenda is opened, colleagues can book — and every booking they make is checked against the working hours, the availability blocks, and existing appointments.

The professional always has the keys

The rules protect the agenda from other people's bookings. The professional can always create appointments in their own agenda, even while it is closed and even outside working hours — useful for personal commitments and exceptions.

Opening the Agenda Settings​

  1. In the left-hand sidebar, click Scheduler.
  2. In the Organization filter, select the unit you are configuring.
  3. In the Professionals filter, select the professional whose agenda you want to configure.
  4. Click Agenda settings at the top of the page.

The dialog opens showing the Organization time zone at the top and a status banner: either "The agenda is open for bookings." or "The agenda is closed. Only the professional can book outside the configured availability."

Step 1 — Working Hours​

The 1. Working hours section lists the seven days of the week, each with an on/off switch and a start and end time (for example, 08:00 to 18:00).

  1. Turn on the switch for each day the professional attends.
  2. Type the start and end times for each enabled day.
  3. Click Save working hours.

A confirmation appears when the hours are saved. From now on, bookings made by colleagues must fit entirely inside the working hours of the corresponding weekday.

Example: Dr. Ana does surgery Monday to Friday, 08:00–18:00, and does not attend on weekends. Only Monday–Friday are switched on.

Step 2 — Availability Blocks​

Blocks reserve specific periods when the professional is unavailable even during normal working hours — a conference, a vacation week, a dentist appointment.

  1. In 2. Availability blocks, choose the Start and End of the period.
  2. Type a Reason (for example, "Veterinary congress").
  3. Click the add button.

The block appears in the list below with its reason and period. To remove a block, click its delete button.

While a block is active, colleagues cannot book appointments that overlap it.

Step 3 — Booking Status​

The 3. Booking status section has two buttons:

  • Open agenda — colleagues can now book, respecting working hours and blocks.
  • Close agenda — colleagues can no longer book; the professional keeps full access to their own agenda.

Click Open agenda when the setup is ready, then Done to close the dialog.

Expected Result​

  • The status banner shows "The agenda is open for bookings."
  • Receptionists can now create appointments for this professional inside the configured hours.
  • Attempts to book outside the expediente, inside a block, or on top of a busy appointment are refused with a clear message — see Common Problems.

Business Rules Worth Knowing​

  • Bookings by colleagues must fit within a single day's working hours — an appointment cannot cross midnight into a day off.
  • Blocks always win: even with the agenda open, a blocked period refuses bookings from colleagues.
  • Appointments marked Show as busy cannot overlap each other in the same professional's agenda — this applies to everyone, including the professional.
  • Closing an agenda does not cancel existing appointments; it only stops new bookings by colleagues.
