Customer, Patient and Sale Context
A sale without context is just a receipt. A sale linked to the right client and patient becomes part of the animal's history — easy to find later, meaningful in reports, and clear for anyone who opens the record. This guide shows how to set that context correctly, and how to fix it before it locks.
Before You Begin​
- The client (the person responsible) must be registered. See Managing Pet Owners if you need to add one.
- The animal must be registered as a patient of that client.
Linking Client and Patient​
At the Point of Sale, right at the top of the Sale summary panel:
- In the Client field, start typing the name and select the person. The field is searchable and marked Optional for counter sales.
- In the Patient field, select the animal. The list shows the patients available; its placeholder reminds you it is Optional; locked after the first item.
- Add the items normally.
The order matters: choose client and patient first, items second.
Why the Patient Locks​
Once the first item is added, the Patient field becomes read-only. This protects the meaning of what has already been registered: a vaccine applied to Luna should never silently become a vaccine applied to another animal.
The client field is more flexible, with one safeguard: if a patient is locked on the sale, the client can only be someone responsible for that patient. Veetz will refuse a client change that would orphan the locked animal, showing a clear message.
If you notice the mistake before adding items, simply change the selection. If items already exist, remove them first, correct the patient, and add the items again — or cancel the sale and start a clean one. Never leave a sale pointing at the wrong patient.
One Sale, One Patient​
A sale in Veetz serves at most one patient. If a client brings two animals — say, a consultation for Luna and a vaccine for Thor — register two separate sales, one per animal.
This keeps each animal's history accurate and makes reports by patient trustworthy. The client will simply have two accounts, which the cashier can close in sequence.
What Good Context Gives You Later​
- Finding the sale: In Explore sales, you can search by the client or the animal, instead of scrolling through counter sales.
- The animal's story: Services and products linked to the patient enrich its record and future clinical decisions.
- Meaningful reports: Sales reports become useful for questions like "what did we sell for dogs this month?" only when sales carry their context.
A person walks in and buys a toy — no appointment, no animal involved. Leave both fields empty; Veetz shows the sale as a Counter sale. Context matters when there is care involved, not for every bag of treats.
Common Problems​
- The patient list doesn't show the animal: Check that the animal is registered under the selected client. Selecting the client first filters the patients.
- The Patient field is disabled: The sale already has items, or the account is no longer open. Remove the items or start a new sale.
- Veetz refuses to change the client: The new client does not own the patient locked on the sale. Correct the patient first, or keep the original client.
