Managing Sales and Statuses

Yesterday's sale, the account left open last week, the cancelled order the client is asking about — sooner or later you need to find a sale and act on it. This guide covers the sales explorer, the details screen, and the two decisions with permanent effect: closing and cancelling.

Finding a Sale

From the main dashboard:

  1. Click on Sales in the left-hand sidebar.
  2. Select Explore sales.

The list shows your sales with number, date, client, patient, total, and status. You can:

  • Search by text to find a client, patient, or sale number.
  • Filter by commercial status to see, for example, only open accounts.
  • Sort and paginate — the footer shows how many records you are viewing.

Click a sale to open its details. If nothing matches, the screen suggests adjusting the search — or starting a new sale at the point of sale.

Reading the Sale Details

The Sale details screen opens with the sale identification (number, date, client, patient, origin) and four status cards, one per dimension:

  • Commercial: Open, Closed, or Cancelled — the state of the account itself.
  • Financial: Shown for awareness only; as the card says, payment status is managed separately.
  • Stock: Whether stock movements for the items are complete or need attention.
  • Execution: A summary of how many services and procedures have been completed.

Below the cards, tabs organize the operational life of the sale: Items, Execution, Instructions, Fulfillment, Documents, and Returns — each covered by its own tutorial in this category.

If the sale originated from a quote, an Originating quote reference appears with an Open quote button leading back to it.

The Three Commercial Statuses

  • Open: The account is alive. Items, discounts, participants, and context can still change.
  • Closed: The commercial content is final. As the screen states, closed or cancelled sales are read-only — and operational completion remains independent from commercial values.
  • Cancelled: The sale was voided. It remains visible for history and reports, but no longer counts as revenue.

Closing a Sale

  1. Open the sale details.
  2. In the save button menu, choose Close sale.
  3. A confirmation window appears. Confirm with Close sale, or step back with Keep sale open.

Veetz requires at least one item: "Add at least one item before closing the sale." After closing, stock consumption and reservations are settled according to each item's policy.

Closing is final for the commercial content

After closing, you can no longer add items, change prices, or edit discounts. What remains possible is the operational side — completing an execution, finishing a delivery, attaching a document. Cancelling a Sale

  1. Open the sale details.
  2. In the save button menu, choose Cancel sale.
  3. Confirm the question "Cancel this sale?".

Cancelled sales release what was committed and appear in reports as cancelled — visible, but out of your results.

Cancellation cannot be undone

There is no "uncancel". If the sale was cancelled by mistake, register a new sale with the same items. Take a moment before confirming — especially on accounts with many items from several professionals.

Updating the Screen vs. Repeating an Action

The details screen has a Reload button that fetches the current version of the sale. Reloading is always safe. Repeating an action — clicking Close sale again because the first click "seemed slow" — is not: wait for the screen's response first. If someone else changed the sale meanwhile, Veetz will tell you to reload before retrying, exactly to keep both of you safe.

Common Problems

  • "Sale not found locally or online": The sale may belong to another organization, or this device has no local copy and no connection. Connect and try again.
  • "You do not have permission to view this sale": Ask your administrator to review your access.
  • A sale shows "Conflict — reload before retrying": Someone changed it on another device. Click Reload, review the current content, and repeat only what is still needed.
