Returns and Corrections

The client bought two collars and one didn't fit. The wrong food bag left the counter. Returns are part of retail life — and in Veetz they are recorded on the sale itself, so the account always tells the whole story: what was sold, and what came back.

Before You Begin​

  • Locate the sale in Sales → Explore sales and open its details.
  • A return applies to a sale that actually happened — typically a closed sale whose merchandise came back.

When to Use a Return — and When Not To​

  • Use a return when merchandise from a completed sale comes back, entirely or in part: a product in disagreement, an unfit size, an exchange.
  • Don't use a return to fix an open sale. While the sale is Open, simply remove or adjust the wrong item — that is a correction, not a return.
  • Don't confuse a return with a cancellation. Cancelling voids the entire sale; a return records that specific items came back after a valid sale. See Managing Sales and Statuses.

Reading the Returns Tab​

Open the sale and go to the Returns tab. Each return shows:

  • Date — when the return was registered.
  • Reason — why the merchandise came back. Every return carries a reason; make it specific ("collar size M too small, exchanged for L").
  • Commercial status — the state of the return on the commercial side.
  • Stock — whether the returned quantity has re-entered your inventory.
  • Refund workflow — an operational follow-up indicator only (see the warning below).
  • Commercial return — the returned amount, in the currency of the sale.

If the tab shows "No returns registered for this sale", nothing has come back on this account.

What a Return Does — and Does Not — Do​

A return adjusts the commercial and stock story of the sale:

  • The returned amount is recorded against the sale and appears in reports as a commercial return, reducing your net result. See Sales Reports and Exports.
  • When the item physically comes back to the shelf, the Stock column reflects the re-entry.
A commercial return is not a payment refund

The screen says it explicitly: "A commercial return is not a payment refund. The refund workflow is shown only for operational follow-up." Recording that a collar came back does not move money. Giving the client's money back — cash, card reversal, or credit — is a separate step handled in the payments area of Veetz. Use the Refund workflow column only to follow up, never as proof of refund.

Keep the two conversations separate at the counter

When a client returns a product, resolve two things in order: first the merchandise (the return, on the sale), then the money (the refund, in payments). Mixing them is how clients end up reimbursed for items that never came back — or the other way around.

Common Problems​

  • The return doesn't appear on the sale: Click Reload on the sale details to fetch the latest version.
  • The client asks where the money is: Check the payments area — the return record here only tracks merchandise and commercial value. The Refund workflow column tells you whether the financial side still needs action.
  • Stock still shows the returned quantity missing: Look at the Stock column of the return and the sale's Stock card; if it needs attention, review the inventory movement in Understanding Your Inventory.
