Pickup, Delivery, Shipping and Collection

The sale is agreed — now the product has to physically reach the client, or the client's items have to reach you. The Fulfillment tab of a sale organizes exactly that: who picks up, who delivers, when, and how it went.

Before You Begin​

  • The sale must exist. Open it from Sales → Explore sales and go to the Fulfillment tab.
  • Have the contact and address details at hand for deliveries and collections.

The Four Types​

  • Customer pickup: The client comes to the store to take the product. Typical for special orders — "your prescription food arrives Thursday, come by after 2 pm."
  • Delivery: Your team takes the product to the client's address.
  • Shipping: The product travels with a carrier or postal service.
  • Collection: The reverse trip — you go to the client's address to fetch something, such as picking up a pet's belongings or collecting material for an exam.

Registering a Fulfillment​

In the Fulfillment tab:

  1. Choose the type — customer pickup, delivery, shipping, or collection.
  2. Fill in the Contact — who to call or notify.
  3. Pick the scheduled date and time in the calendar field.
  4. Fill in Address or location — the client's address for delivery and collection, or the counter/branch for pickup.
  5. Add Operational notes with anything the team needs to know: "gate code 1234", "fragile", "call before arriving".
  6. Click Add fulfillment.

The new fulfillment appears in the list with its type, Status, scheduled time, and responsible person.

Following the Status​

A fulfillment moves through clear states:

  • Pending: Registered, not yet planned or started.
  • Scheduled: Has a defined time window.
  • In progress: The pickup, trip, or shipment is happening.
  • Completed: The product changed hands successfully.
  • Cancelled: Called off — the client desisted or the plan changed.
  • Failed: Attempted without success — nobody home, refused package.

Two buttons drive the flow on each row:

  • Start — when the errand begins.
  • Complete — when it ends well.

Two Everyday Examples​

Pickup: Marina buys a 15 kg bag of prescription food that arrives Thursday. Register a customer pickup scheduled for Thursday afternoon, contact "Marina", location "front counter". When she collects the bag, click Complete. The item was reserved in stock at the sale, so nobody sells that bag meanwhile — see Products, Services, Prices and Stock Behavior.

Delivery: An elderly client cannot carry the food home. Register a delivery with her address, schedule it for tomorrow morning, and note "leave with the doorman if absent". The driver clicks Start when leaving and Complete at the door.

One sale can have several fulfillments

A sale with three special-order products can have three pickups on different dates. Register one fulfillment per real-world trip or handover, and each gets tracked on its own.

A failed attempt deserves a record

If a delivery fails, don't delete or ignore it — the failed state plus a note ("client absent, second attempt Friday") is exactly what the next shift needs to pick up the case.

Common Problems​

  • "No pickup, delivery, shipping or collection registered": Nothing has been created yet for this sale — the list starts empty.
  • The Start button is disabled: The fulfillment is already in progress, completed, or cancelled.
  • Wrong address registered: Add a corrected fulfillment and cancel the wrong one, keeping the history honest.
